How to write a press release

I thought The BC Hull members might find this useful to help write your own articles that will interest and engage fellow members.

First of all is it news? If your update is just an advert or a 'fluff piece' then you could lose credibility. However, if it is genuine news then follow this simple formula for PR success...

Hook ‘em in:

Your press release should have a headline that draws attention immediately. Known as ‘the hook’ this is absolutely key to your news story’s success. If it doesn’t grab attention, it will be overlooked.

Who, what, where, when and why:

The first paragraph should always include this information. Get straight to the point without over exaggerating the facts.

If a journalist has room for 250 words and your release is 400, it will be chopped from the bottom so make sure the vital info is at the top.

Quoting:

Always make sure a quote adds value and doesn’t repeat information. This is a common mistake which will get your release deleted. It does however give an opportunity to provide background information to build on the story although this is not to be used as a shameless plug.

Length:

The number of words in your press release can vary but it should only exceed a page of A4 if you have plenty of fresh information or multiple quotes from people involved in the story.

And finally:

Wrap up the story with what your news means to the people involved. You may include historical events linked to your business although it must remain on topic.

-Ends-:

This literally highlights the end. It might seem obvious but it’s an industry norm and implies that anything beyond -Ends- is just for information.

Notes to the editor:

Always remember to include your contact details, web links and social media. You can also provide background information about the person or organisation that is not part of the news story.

Tip:

Always ask someone else to proof read your release, checking your spelling and punctuation twice.
