What I&rsquo;m doing works.&rdquo;<\/span><\/p>\n<p>If you&rsquo;ve ever thought this about your business systems, you&rsquo;re not alone.<\/p>\n<p>Perhaps you&rsquo;ve been using the same spreadsheet for years. Maybe you create your invoices manually, keep receipts in folders, check your bank account yourself and have a process that exists mainly in your head.<\/p>\n<p>It might not be perfect, but it works.<\/p>\n<p>So why change it?<\/p>\n<p>Especially when you&rsquo;re already busy.<\/p>\n<p>You don&rsquo;t have the time to learn new software. You don&rsquo;t have the time to move everything over. Typing everything in by hand<\/p>\n<p>&bull; Copying numbers between different systems<\/p>\n<p>&bull; Searching for missing receipts<\/p>\n<p>&bull; Matching transactions manually<\/p>\n<p>&bull; Updating spreadsheets<\/p>\n<p>&bull; Trying to work out what you've been paid<\/p>\n<p>&bull; Working out your profit from several different sources<\/p>\n<p>&bull; Trying to understand your cash position<\/p>\n<p>The benefit isn't simply that the software does some of the work for you.<\/p>\n<p><span style=\"color: #d4af34;font-weight: bold\">It's the time and headspace that gives back to you.<\/span><\/p>\n<h2 style=\"color: #a3c4b8;margin: 14px 0 8px 0\">But software isn't the same as a system<\/h2>\n<p>There is an important distinction here.<\/p>\n<p>Simply buying accounting software doesn't automatically solve the problem.<\/p>\n<p>You can have the best software available and still have a messy process.<\/p>\n<p>The real value comes from looking at how information moves through your business.<\/p>\n<p>Where does the information start?<\/p>\n<p>Who enters it?<\/p>\n<p>How many times is it entered?<\/p>\n<p>Where does it go next?<\/p>\n<p>What could be automated?<\/p>\n<p>What could be connected?<\/p>\n<p>What could be delegated?<\/p>\n<p><span style=\"color: #d4af34;font-weight: bold\">Good software should support good processes.<\/span><\/p>\n<p>It shouldn't simply become another piece of technology that you have to maintain.<\/p>\n<h2 style=\"color: #a3c4b8;margin: 14px 0 8px 0\">If you're a sole trader, there's another reason to get your systems in order<\/h2>\n<p>Making Tax Digital for Income Tax is another reason for sole traders to start thinking about their accounting systems now rather than waiting until they are required to change.<\/p>\n<p>MTD for Income Tax is being introduced in stages.<\/p>\n<p>From 6 April 2026, it applies to sole traders and landlords with qualifying income over &pound;50,000.<\/p>\n<p>From 6 April 2027, the threshold reduces to over &pound;30,000.<\/p>\n<p>From 6 April 2028, it reduces again to over &pound;20,000.<\/p>\n<p>For those within the rules, digital records need to be kept using compatible software and quarterly updates of income and expenses need to be sent to HMRC.<\/p>\n<p>That means if you're still relying heavily on spreadsheets or manual processes, it may be worth looking at your systems before you are under pressure to change them.<\/p>\n<p>Rather than waiting until you have a deadline, why not use the opportunity to put better processes in place now?<\/p>\n<h2 style=\"color: #a3c4b8;margin: 14px 0 8px 0\">You don't have to change everything at once<\/h2>\n<p>Perhaps the idea of completely changing the way your business operates still feels overwhelming.<\/p>\n<p>It doesn't have to happen overnight.<\/p>\n<p>Start with one process.<\/p>\n<p>Look at the task that takes up the most unnecessary time.<\/p>\n<p>Ask yourself:<\/p>\n<p>Why are we doing this manually?<\/p>\n<p>How often do we do it?<\/p>\n<p>How many times is the same information entered?<\/p>\n<p>Could it be automated?<\/p>\n<p>Could two systems be connected?<\/p>\n<p>Could somebody else do it if the process was clearer?<\/p>\n<p>You might find that one small change leads to another.<\/p>\n<p>And gradually, you're building a business that is easier to manage and better equipped for the future.<\/p>\n<h2 style=\"color: #a3c4b8;margin: 14px 0 8px 0\">Invest the time today to benefit tomorrow<\/h2>\n<p>Changing your systems will take time.<\/p>\n<p>There is no point pretending otherwise.<\/p>\n<p>But the time you invest today has the potential to save you many more hours in the future.<\/p>\n<p>And those hours are valuable.<\/p>\n<p>Because your time as a business owner should be spent where you add the most value.<\/p>\n<p>Not repeatedly entering information.<\/p>\n<p>Not searching for paperwork.<\/p>\n<p>Not answering the same questions.<\/p>\n<p>Not trying to hold your entire business together in your head.<\/p>\n<p><span style=\"color: #d4af34;font-weight: bold\">Invest the time today to see the benefits tomorrow.<\/span><\/p>\n<p>Good processes can unlock growth.<\/p>\n<p>Good systems can create capacity.<\/p>\n<p>And creating capacity gives you the freedom to step away from the day-to-day and spend more time working on your business rather than simply working in it.<\/p>\n<p>So perhaps the question isn't:<\/p>\n<p><span style=\"color: #d4af34;font-weight: bold\">&ldquo;Why should I change something that already works?&rdquo;<\/span><\/p>\n<p>Perhaps it's:<\/p>\n<p><span style=\"color: #d4af34;font-weight: bold\">&ldquo;How much more could my business achieve if the way I work was designed for where my business is going, rather than where it used to be?&rdquo;<\/span><\/p>\n<\/div>\n","protected":false},"excerpt":{"rendered":"<p>How to Know When Your Accounting System Needs an Upgrade &ldquo;Why do I need to change it?
